Biological Transport Contingency Plan

MondoIVF Emergency Response Protocol — International Cryogenic Logistics

In the event of unforeseen disruptions during the international transport of reproductive biological materials (embryos, oocytes, or sperm), the Courier/Contractor is mandated to activate this Contingency Plan immediately. The preservation of biological integrity and the maintenance of cryogenic stability are the absolute priorities.

1. Flight Cancellation or Significant Delay

If a confirmed flight is cancelled or delayed beyond four (4) hours, the Courier shall:

  • Immediate Rebooking: Coordinate with the airline or MondoIVF dispatch to rebook the most immediate alternative route, prioritizing direct flights or routes with the shortest remaining transit time.
  • Upright Maintenance: Ensure the Dry Shipper remains in a secure, upright position at all times during the waiting period to prevent premature nitrogen vapor loss.
  • Physical Supervision: The Courier must remain with the container; the material shall never be left in airport storage, with third-party ground handlers, or checked as luggage under any circumstances.

2. Equipment Malfunction or Physical Damage

In case of physical damage to the Dry Shipper, vacuum failure, or data logger alerts:

  • Emergency Storage: Immediately locate and transport the material to the nearest pre-authorized IVF clinic or cryogenic facility for temporary storage in a stable liquid nitrogen environment.
  • Refilling Protocol: If the container's vacuum is compromised, the material must be transferred to a backup Dry Shipper or a local nitrogen tank immediately.
  • Incident Documentation: Record the serial number, data logger reading, and take photographs of any visible damage to the container for MondoIVF’s technical risk evaluation.

3. Customs or Regulatory Delays

If held by Customs, FDA, or local Health Authorities during transit:

  • Document Presentation: Immediately provide all mandatory documentation, including the Commercial Invoice, Physician's Statement, and IATA Non-Dangerous Goods Declaration.
  • MondoIVF Liaison: Contact MondoIVF’s legal or customs department to facilitate mediation with the specific government agency.
  • X-Ray Protection: Strictly reiterate the NO X-RAY policy to customs officers. Demand a manual physical inspection of the container's exterior only, to avoid DNA radiation damage.

4. Notification Hierarchy

Upon activation of any contingency procedure, the Courier must notify the following parties within 60 minutes:

1. MondoIVF Dispatch Primary contact for rebooking and operational decisions.
2. Origin Clinic To verify the nitrogen hold-time window and viability requirements.
3. Destination Lab To adjust thawing schedules and patient clinical procedure timing.

Compliance Notice: This protocol is an integral part of the Master Services Agreement. Any unauthorized deviation from these emergency steps may result in professional liability for the Courier/Contractor.
